Administrative Assistant I

This is a Contract position in Union, NJ posted November 30, 2019.

Administrative Assistant I Hours: 8:30AM to 4:30PM Duration: Through 01/17/2020, possible extension Duties and Responsibilities: Department of Public Safety and Police Administrative Assistant I Under the general supervision of the Director of Public Safety and Police, the Program Assistant is responsible for performing basic professional functions using established policies, procedures, precedents and guidelines; and does related work as required.

Consults with the Director on a regular basis to discuss progress, identify problems and effect resolutions.

Establishes liaison and maintains cooperative working relationships with other departments, staff, vendors and others whose functions impact on assigned responsibilities.

Disseminates information to the Department of Public Safety and Police regarding Personnel Orders, Special Orders, Training Bulletins, Memorandums, reserved parking spaces, reserving a Campus Police Officer for Board of Trustee meetings, overnight parking, trips for the President, campus-wide field trip attendance and access to University buildings for events.

Answers questions and provides information to the general public and Campus community regarding parking issues, campus tickets, parking decals, parking hang tags, parking passes, overnight parking, reserved parking, medical parking, alumni parking and Professor Emeritus/Emerita parking via email and phone.

Provides guidance, assistance and maintains the Xerox WorkCentre and the HP copier/fax equipment via Xerox service; orders office supplies via W.B.

Mason and/or Material Services, when necessary.

Creates various work order requests online and via email for the Department for maintenance of lighting, plumbing, HVAC, etc.

and Print Center requests for overtime cards, hang tags, etc.

Assists with the preparation and processing of paperwork for training for Department of Public Safety/Police employees.

Qualifications: Microsoft Excel, Files Scanning, Creating files as needed, Customer service if needed 1 year experience preferred in Public Safety or Police Bachelor’s Degree
