Job Details:Job Title: Space Management CoordinatorLocation: Menlo park, CA Duration: 6 Months contractDuties: As part of the Global Services Admin Program team this role will assist (in partnership with Admin Operations Program Manager) in the implementation of space strategies and efficiencies that balance the responsibility and demand on Space Captains (admins who support day to day space planning within their Planning Group as a primary responsibility).This role will help build key relationships with Space Captains, Space Leads, and the Workplace Planning Team Manager and Space Planner.Headcount Data:Partner with Workplace Planning as needed validate H1/H2 Headcount Projections for Planning Groups Headcount reports: Global Occupancy, Global Current Employee, Hiring Trends, Org Tool to mitigate space deficits and manage supply, demand and vacancy.Space Captain Coverage:Assign New Hire seat locations in SpaceView/Archibus via Weekly New Hire Report Assign Intern space locations in SpaceView/Archibus via Weekly New Hire Report Assign Internal Transfer seat locations as requested by Managers in supported Planning Group in SpaceView/Archibus Input Daily/Weekly moves for supportedPlanning Group Coordinate Mini Shuffles (moves of 5 or more) with teams and Input as daily moveCoordinate Large Shuffles (moves of 15 or more) in coordination with WorkplacePlanning Space Planner and input moves into specific move project Perform Space Assessments (Space 360) to understand all aspects of space by Planning Group including Allocated space, Headcount Trend, Headcount Forecast, Hiring Trend, XFN Occupancy, Vacancy, and Team placement Perform Space Audit (as needed) in comparison with Space View Data.

Correct data in Space View and resolve discrepancies Partner with Workplace Planning on all furniture, space modification, Dashboards, special team requests and team relocation requests.Maintain respective team mapsCreate Move Communications for all space modifications and large moves in coordination with WorkplacePlanning Coordinator and Space Planner Assist Program Manager, Space in developing materials for Space 360 program and Planning Group Sites sites for all aspects of space management.Collect data to support Space 360 programSkills + Knowledge Required:Occupancy PlanningMove, Add Change CoordinationAbility to interpret floor plansStrong oral, written and presentation skills with attention to detail and quality Solution-focused self-starter Ability to analyze data and provide viable solutions to management Multitasker in a fast-paced work environment Advanced knowledge of Microsoft Office, Word, Excel, Outlook, and PowerPointAbility to handle multiple projects with varying deadlines and stakeholdersEducation:3+ Years Occupancy Planning, MAC (Move , Add, Change), or Facility 3+ OperationsArchibus Space Management SoftwareCAFM
